Information we collect

GCEN may collect identity and contact details, professional history, application evidence, payment and correspondence records, directory information, learning records and technical information needed to operate its services.

Why we use it

Information is used to respond to enquiries, administer membership, assess credentials, operate learning services, publish approved directory profiles, uphold ethics and security, meet legal duties and improve GCEN services.

Lawful, minimal and fair processing

GCEN identifies an appropriate legal basis for each activity, including consent, contract, legitimate interests and legal obligations where applicable. It collects only information reasonably needed for a stated purpose and does not use it incompatibly without notice or authority.

Special and sensitive information

Health, safeguarding, identity, disciplinary and other sensitive information is requested only where necessary, access is restricted and additional safeguards are applied. Applicants should not provide confidential client material unless specifically requested and lawfully authorised.

Sharing and international processing

Information may be shared with authorised assessors, service providers, professional advisers or authorities where necessary and lawful. Appropriate safeguards should be used where information crosses borders.

Directory publication and consent

Only approved profiles are published, and contact details appear only with express consent. A coach may withdraw directory contact consent, subject to reasonable processing time, without erasing records GCEN must retain for accountability.

Retention and disposal

GCEN retains records only as long as needed for the stated purpose, assessment integrity, professional accountability, dispute handling and legal obligations. Retention periods are documented, reviewed and followed by secure deletion or anonymisation.

Security and access

GCEN applies role-based access, private evidence storage and proportionate organisational and technical safeguards. Access is limited to authorised people with a legitimate purpose and reviewed when responsibilities change.

Information incidents

Suspected loss, unauthorised access or disclosure is contained, assessed, documented and notified to affected people or authorities when legally required. Individuals should promptly report suspected compromise through the contact form.

Automated and AI-assisted processing

AI may provide advisory guidance but does not award credentials. GCEN applies human review to consequential assessment decisions and does not intentionally submit confidential client material to AI systems without authority and safeguards.

Your choices and rights

Depending on applicable law, individuals may ask for access, correction, deletion, restriction, objection, portability or withdrawal of consent. Some records may need to be retained for lawful or professional reasons.

Requests, complaints and verification

Privacy requests may be submitted through the GCEN contact form. GCEN may verify identity before releasing or changing information, will respond within applicable legal periods and will explain any lawful limitation or escalation route.

Cookies, logs and external links

GCEN may use essential technical storage and security logs to operate and protect the service. External sites have their own privacy practices; users should review them before supplying information.

Policy changes

Material changes are versioned, approved through governance and published with their effective date. Where required, affected people receive notice or a renewed choice before the new use begins.
