Professional Standards Policies
The core policies every GCEN member, credential holder, assessor and partner is expected to uphold, alongside the Code of Conduct, Terms and Privacy Policy.
Policy 01
Complaints and Disciplinary Policy
Provides a fair, accessible and confidential route for concerns about a member, credential holder, assessor or GCEN service.
- Complaints are submitted in writing with the conduct, dates, people and available evidence identified; reasonable assistance is available where accessibility requires it.
- GCEN acknowledges receipt, screens jurisdiction, urgency, conflicts and safeguarding risk, and may take proportionate interim protective action without prejudging the outcome.
- The respondent receives the material allegations and a fair opportunity to answer; an impartial investigator or panel gathers and tests relevant evidence.
- The civil standard of proof applies unless law requires otherwise. Reasons are recorded and communicated subject to privacy and safety obligations.
- Outcomes may include no action, advice, apology, education, conditions, reprimand, suspension or withdrawal. Retaliation and bad-faith interference are prohibited.
- Records, review rights and any public-status change are managed under the Privacy, Appeals and Use of Designations policies.
Policy 02
Appeals Policy
Provides an independent review of membership, credential, assessment or disciplinary decisions.
- An appeal must identify procedural unfairness, material error, unreasonable conclusion, conflict, or significant new evidence that was not reasonably available earlier.
- A person not involved in the original decision assesses admissibility and an independent panel determines the appeal on the record or with further submissions where fairness requires.
- Possible outcomes are confirmation, variation, setting aside or referral for reconsideration. Written reasons are supplied and the internal appeal outcome is final.
- Appeal deadlines and any fee must be published before they apply; where none is published, GCEN must allow a reasonable period.
Policy 03
Safeguarding Policy
Protects clients and others, particularly children and adults at risk, from abuse, exploitation, neglect and avoidable harm.
- Members obtain appropriate consent, assess power and vulnerability, maintain safe boundaries and never use coaching as a substitute for emergency, medical or mental-health care.
- Immediate danger is escalated to appropriate emergency or statutory services. Other concerns are promptly recorded and referred through GCEN’s designated safeguarding process.
- Confidentiality may be limited where disclosure is necessary and lawful to prevent serious harm; only necessary information is shared.
- Work with minors or adults at risk requires suitable contracting, guardian or representative involvement where applicable, secure communication and appropriate supervision.
Policy 04
Conflict of Interest Policy
Protects impartial coaching, assessment, complaints, procurement and governance decisions.
- Members, assessors, employees and office-bearers disclose actual, potential and perceived conflicts promptly and before participating in a related decision.
- Conflicts are recorded, assessed and managed by withdrawal, independent oversight, informed consent or reassignment; consent does not cure an unmanageable conflict.
- Gifts, benefits, referrals and financial interests must not influence professional judgement. Governing-body declarations are reviewed at meetings and retained in a register.
Policy 05
Supervision and Peer Review Policy
Supports reflective, ethical and continually improving practice.
- Credential holders undertake supervision or structured peer review appropriate to workload, complexity, context and renewal requirements.
- The relationship must protect client anonymity, be appropriately contracted and use a suitably experienced supervisor who can challenge practice independently.
- Dates, hours and development themes are recorded without unnecessary client information and may be sampled during renewal or quality review.
Policy 06
Continuing Professional Development Policy
Ensures current competence throughout membership and credential cycles.
- Development should be planned from reflective needs and include a balanced mix of ethics, practice skills, supervision, research and relevant contextual learning.
- Only completed, relevant learning is logged; evidence must identify provider, date, activity, hours and reflection where required.
- GCEN publishes required targets before enforcing them, may audit records and may require a development plan where evidence is insufficient.
- Attendance alone does not prove competence; members remain responsible for applying learning safely and within scope.
Policy 07
Equity, Diversity, Inclusion and Accessibility Policy
Promotes fair access, dignity, participation and culturally intelligent professional practice.
- GCEN prohibits unfair discrimination, harassment and victimisation across membership, assessment, employment, events and services.
- Reasonable accommodations are considered confidentially and without lowering essential competence or safety outcomes.
- Standards, panels and communications are reviewed for avoidable barriers, bias and representation, with decisions based on relevant evidence.
Policy 08
Recognition of Prior Learning and Experience Policy
Provides an evidence-based alternative route for experienced applicants without equating experience alone with a credential.
- Applicants map prior learning and experience to the published outcomes and provide verifiable evidence such as a CV, qualification, employer confirmation, portfolio and reflective account.
- Assessors evaluate authenticity, currency, sufficiency and relevance and may interview the applicant or request further evidence.
- RPL may support a membership designation but does not automatically confer an assessed professional credential; gaps may require further learning or supervised practice.
- The decision and reasons are recorded and may be appealed under the Appeals Policy.
Policy 09
Referral and Scope of Practice Policy
Guides safe action when a client’s needs or risks fall outside a coach’s competence or role.
- Coaches explain the limits of coaching during contracting and continually monitor whether the work remains appropriate.
- Where specialist, clinical, legal or emergency support is indicated, the coach pauses or ends relevant work and discusses referral sensitively, obtaining consent where possible.
- Urgent risk is escalated lawfully. Referral decisions and consultations are recorded proportionately and confidentially.
Policy 10
Programme Quality Assurance Policy
Sets transparent requirements for recognised education providers and institutional members.
- Providers submit governance, learning outcomes, curriculum, hours, faculty competence, assessment design, moderation, learner support, complaints and completion evidence.
- Assessment must be valid, reliable, fair and securely recorded, with declared assessor conflicts and appropriate moderation.
- Recognition is time-limited, reviewed periodically and on material change. Monitoring may include samples, feedback, site or virtual review and corrective actions.
- Serious or repeated non-conformity may lead to conditions, suspension or withdrawal after fair notice and response.
Policy 11
Use of Designations, Credentials and Logo Policy
Protects the public from misleading status claims and safeguards GCEN identity.
- Only current holders may use the exact abbreviation or credential title awarded to them, within its scope and validity period.
- Membership designations identify participation and must never be presented as proof of assessed coaching competence or as a professional credential.
- The seal, logo and endorsement statements require written permission and may not be altered, sublicensed or attached to unapproved programmes.
- Use must stop promptly on expiry, lapse, suspension or withdrawal; public profiles may be updated accordingly.
Policy 12
Records, Evidence and Audit Policy
Maintains reliable evidence for applications, decisions, renewals and professional accountability.
- Records must be accurate, dated, attributable and limited to what is necessary. Fabrication, alteration and misleading omission are misconduct.
- Access follows role and purpose; evidence is stored privately and disclosed only where authorised or legally required.
- GCEN may sample evidence, verify it with issuers and preserve relevant records during a complaint, appeal, legal hold or investigation.
Policy 13
Responsible Use of AI and Digital Technology Policy
Supports transparent, lawful and human-accountable use of digital tools.
- GCEN AI recommendations are advisory only; independent human assessment determines membership and credential outcomes.
- Members explain material AI use, obtain appropriate consent and remain accountable for accuracy, bias, safety and professional judgement.
- Confidential or identifiable client information is not entered into AI systems without authority, necessity, safeguards and an appropriate legal basis.
- AI must not impersonate a coach, fabricate evidence, make undisclosed recordings or automate high-impact decisions without meaningful human review.
